A "Client Cancel Placeholder" has been added to your schedule, and you're instructed to plan to work your scheduled shift until Scheduling notifies you that there are no coverage needs. Should you still plan to report to work at 8:00 a.m. on Monday?

Yes, you should plan to report to work at 8:00 a.m. unless the Scheduling Team notifies you that there are no coverage needs and you do not need to come to the clinic for a session.

Yes.

If an RBT is notified of a client cancellation less than 1 hour before the scheduled session start time and there are no coverage needs, they are eligible for Late Cancellation Admin Time equal to the full duration of the scheduled client session.

Staff may choose to decline Late Cancellation Admin Time if preferred. If accepting Late Cancellation Admin Time, staff must check in with a Floor Supervisor at the start of their admin time.

RBTs should call the clinic (808-625-3000) whenever they are running late for session regardless of what location they work (clinic, home-based, DOE). 

RBTs should provide their estimated time of arrival and their client initials. Please leave a voicemail if no one is able to answer the call.

RBTs should check their email each day before leaving the house and coming into the clinic. 

The scheduling team will communicate any schedule changes via email. Please look for "SCHEDULING" in the subject line for urgent schedule change information.

Your client session is scheduled to begin at 8:00 a.m. It is now 8:00 a.m., and you have not heard your client's initials called. What should you do?

RBTs should immediately check in with a Floor Supervisor if they have not heard their client's initials. If the client is late, the Floor Supervisor will assign the RBT a task while waiting for the client to arrive. This may include coverage for another client. 

Floor Supervisors will alert Front Desk to contact family for an ETA.

For the first occurrence of accruing 3 or more attendance points in a single month, the RBT will be scheduled for a check-in meeting with their direct supervisor.

If you need to change your availability, how long does the process typically take?

Availability changes may take up to 90 days to go into effect.

For new hires, the process may take up to 6 months. New hires are onboarded based on the needs of new clients who are also beginning services. Because changes to a new hire's availability can impact client scheduling and continuity of care, new hires may be expected to maintain their original availability for a longer period.

You were notified that you have a "Client Cancel Placeholder" on your schedule for tomorrow. Who should you contact if you do not want to be scheduled for a coverage session during your placeholder?

You should contact the Central Reach Help team at CentralReachHelp@mpacfamily.com before the scheduled session to request that you not be assigned to session coverage during your Client Cancel Placeholder.

Please note that coverage needs take priority. Even if you submit a request, you may still be assigned to session coverage if coverage is needed. Unless you are notified that there are no coverage needs, you should plan to report to work as scheduled.

You no longer need the PTO, LWOP, or MMC request you previously submitted. What is the deadline to request cancellation of a PTO, LWOP, or MMC request?

Requests to cancel PTO, LWOP, or MMC must be submitted by the Monday of the previous week.

If a cancellation request is submitted after the deadline, the original appointments may not be added back to the schedule because coverage may have already been confirmed with another staff member.
