When you are calling out, running late, or need something, who should you communicate with, and how?
When in doubt, text all admins in a separate chat. (Ex: Denise, Michelle, Jacky & the Beacon Phone) Not in the program chat.
It is always good practice to text your partner about any changes to your attendance.
If it is a personal matter, you can always text Denise privately. You should acknowledge in the text that you will inform the other admin of any lateness or absence. There's no need to share details if you don't want to. However, all admins need to be aware of any programmatic staff changes, but Denise should not have to communicate them on your behalf.
What happens when the closet or carts are not kept clean?
*The closet is closed for a period for maintenance.
*Mice explore the closet.
*Supplies are wasted & misused.
How should you escort participants to the bathroom?
Ideally, scheduled bathroom times are a best practice.
You can ask the participants to use the bathroom during designated times. (Arrival, after PE & before activity)
*Participants should sign out & in using the Bathroom log.
*They should be escorted by a staff/Vol
*Kids who misbehave together should not go to the bathroom during the same trip.
*No more than 7-8 kids should be on a trip with a vol. (use your discretion)
*Check the status of the BR prior to allowing you kids to use the BR.
*If you hear noise, address it!
*Keep the participants accountable on how long they are in the bathroom. (Use your discretion)
*Count your kids to ensure you're not leaving them in the bathroom.
*Return to class and sign the BR log
Which role provides overall guidance and a senior level of experience in the classroom and in the partnership?
What should you do if you need additional time for prep, a lesson plan, or extra time to meet a deadline?
You should communicate with the appropriate admin BEFORE the deadline.
Everything is about showing you care and taking accountability.
When an incident takes place at any given time, what steps of communication should you follow?
1. Ask the participant if they're okay.
2. Notify your partner. Clarify and agree on the next steps as a team.
3. Bring the child to the office for next steps.
Your partner should not have to ask what happened, this information should be shared proactively. This allows any team member to speak with the office or parents in case the reporting staff is unavailable.

How should Youth Council be conducted?
Youth Council is a group discussion with your class that takes place within the first two weeks based on the monthly topic.
A project must take place to ensure the ideas are being executed.
Your summary of that discussion is due on the Friday of the 2nd week. Your project is due on the last Friday of the month.
You can assign the note-taking role to a participant and edit upon submitting on Google Classroom.
Who leads the class when two classes are combined?
Overall, the class should be tackled as a team, no matter what roles are present.
The class should:
*be led as one for the entire day.
*move as one during travel.
*follow one lesson plan for the day.
*be taken to the bathroom together by any staff member or volunteer who is free.
*behavior management should be address by all staff, not just group specific.
*staff should help who ever needs it, not just participants who are on their rosters.
Survey said: "Sometimes it feels rushed to complete an activity."
What is a solution to this concern?
Lessons that take longer will require additional days. This is OKAY!
You want an impactful lesson, rather than a rushed lesson.
This is what scaffolding lessons start off as.
Always consider clean up time and following the program schedule.
You are not limited to complete one activity in one period. Just communicate and make realistic goals.

*Debrief for five minutes daily in between dismissal and staff huddle.
*Check in periodically throughout the day/week
*Exchange feedback on activities, how the day went, thoughts on participant behavior and personal performance.

Your class is struggling with motivation and not making any progress with the upcoming show performance.
What are some tips to overcome this challenge within your class.
*Revisit the purpose of the show

How should Homework Help be conducted?
*Ask your class how many homeworks they have and log it into the homework tracker
*Participants who don't have homework should be in their own group and working on something assigned to them.
*The first 20 mins of homework time should be silent or whisper level.
*Participants in the same class should sit together, depending on if they behave.
*Staff should review homework to ensure its neat
*Wrap up by asking how many homeworks were completed.
While an Arts & Crafts activity is underway, who should address the participant's behavior in a non-disruptive manner? Why?
The Group Leader should address disruptive behaviors while the Instructor is facilitating a lesson.
Some examples include:
*talking within participants
*walking around during the lesson
*participants who are dazing off
Overall, the Group Leader should help redirect the participants' attention throughout the activity.
Note: this applies as well when a Group Leader is leading PE.
Survey said: "Allow for classes to come down a few minutes over 5:30 in the event the class needs the time for clean up."
What is the solution to this concern?
Divide your lesson into two to allow time for clean up.
Going over a few mins delays the dismissal process and will result in staff huddle taking longer, possibly over 6pm. Unpaid.
Additionally, you can assign responsibilities in the classroom as the activity takes place to speed up the cleaning process.
There is no expectation for staff to stay after hours to clean up. This should be apart of your lesson.

How should you approach this?
To address this concern: Build a friendly yet professional relationship with your partner. Since you spend a lot of time together, check in regularly: ask how they are doing, how their morning was, or how their weekend went. This helps keep conversations neutral and collaborative.
By establishing a confident connection, you can openly discuss your goals and the challenges you face in your role. Remember to avoid placing blame, maintain a professional tone, and clearly communicate your needs. This setting encourages you to advocate for yourself while fostering a positive working relationship.
Your group is not acting safely and appropriately in the hallway.
What is an acceptable consequence?
Allow participants to correct their behavior, but the direct consequence for unsafe or inappropriate hallway behavior is assigned line spots, moving in small groups, or losing independence until they earn back freedom.
How should Auditorium time be conducted?
*Classes should be seated together, filling up the first areas first. Not the stairs.
*Staff should be off their phones and actively monitoring the classes. All of them, not just theirs.
*During a movie, voices should be off. No devices should be used.
*No staff should be on the stage, even for supervision. Stand next to your class.
*If something doesn't work, notify admin.
When two Group Leaders are tasked to lead a class for the day, who should take on what responsibilities for the day?
The goal is to make your day manageable.
Use your strength as independent professionals.
However, if the assignment is on a more consistent basis, the duties such as attendance, summary log, bathroom, leading lessons or homework tracker should alternate.
The key is to split up the work evenly. This is an opportunity for growth and to work as a team.

Staff are expected to:

Survey said, “My biggest issue is the differences in how my partner is while I’m there vs. when I’m not there.” Rules are not being reenforced in the absence of the instructor.
What is the name of the agreement that should be enforced at all times by staff & participants?
Community Agreement.
Your group’s Community Agreement should be upheld at all times, even in the absence of a staff member.
Inconsistency can lead to poor communication, unclear expectations, and negative participant behavior. By establishing routines, we help build well-rounded young members of society.
The program has an unplanned fire drill.
What are your steps as a staff member to ensure you're following protocol and the safety of those you lead?
Quickly:
*count your kids & volunteers
*collect your first aid kit, flashlight, rosters
*calmly remind your kids of fire drill practices
*exit the building using the nearest exit
Note:
If coats are not within reach, leave them!
If someone was in the bathroom, bring your bathroom log to show the kid's name and the adult they were with. You will meet them outside.
If your class was not following directions, dedicate a lesson to why safety is important and practice exiting the classroom while walking in the hallway.
How should Backyard usage be conducted?
*Notify admin that you will be using the space.
*Ask for the Backyard alarm key.
*Clear and inspect the space for any harm. (People, needles, drugs etc.)
*Close the two gates
*Bring the class out and facilitate an activity. Free time is not an activity. Start a game of their choosing.
*School backyard door is to be monitored 24/7. If you are unable due to staffing, close the door. Someone can open in for you when you need it, or one staff member can walk through the front.
*Re-alarm the door after usage.
*No staff should be sitting or on their phones while in the line of public danger.
