How do you create a handbook if you don’t see an employee handbook created for a client?

Company Policies – Handbooks – Enter Client information (client ID) – Create – New Handbook – Enter in Client information – select client – fill in generic information in the required sections. Prompt the client to then edit the information in Handbook Settings (if needed)

Client reaches out to you looking for the best way to handle a situation. Client has an employee who disappears at the same time every day, they do not follow dress code, does not participate in office potlucks, or shake hands with other employees. Client wants to either reprimand or fire the employee and is looking for your advice. Is this a best practice or HR matter? What are some questions and red flags that come to mind.

This employee could be a female Muslim! They are "disappearing" to pray, wear a hijab, cannot eat the food in the potlucks, and it goes against their belief to touch men.

Questions could be:

Flex – documents – add pdf of employee handbook – recommend to client on having employees sign/acknowledge handbook, selecting employee(s), & expiration date.

  • Physical copies – submit questionnaire for approval to have handbooks printed – enter client iID in SalesForce – select client – select contact – new case – service support handbook HR Solutions enter required information. If anything gets missed, the handbook team will email informing they cannot complete the request until the SF submission has been resolved.

Question 1. If a client asks for a hard copy of their handbook to be printed, what should your response be?

Question 2. If the client is able to use digital handbooks, but they want a hard copy, how will you show them the benefits of digital versus hard copies?

Answer 1. Handbook printing is no longer offered at Paychex, however, if a client is insistent and cannot use digital handbooks, we will need to ask permission from our supervisor and submit the Handbook Printing Exception Request.

Answer 2. Digital is the way to go, especially with how the handbook builder is set-up. It is a cloud-based software, updated in real time, so as changes are made at the state and federal level, the policies within will update automatically, and often. Trying to re-print every time a policy updates is time-consuming, and may not even get approved.
