What timeframe would the employees flex time need be completed within? 



It’s preferable to take “flex time” off  without pay during the same week when the additional hours are worked. However, with management approval, it is  permissible to work additional hours in the first week of the pay period and  then take time off without pay in the second week of the same pay period to  offset some or all of the additional hours worked in the first week of the pay  period.

Those hours will adjust based on time reported on the timesheet. The purpose of System Generated Hours is to ensure the total number of hours sent to payroll for processing at the end of the pay period is at least equivalent to the employees standard hours. 

 

As entries are made on the timesheet, such as Worked or PTO, the total hours reported for System Generated Hours will decrease.

What happens if an employee performed “Unapproved” Work Outside of Regular Work Hours?

They still need to be paid for the time spent performing the “unapproved” work. However, since management did not give their approval for the work to be performed outside of the employee’s regular work hours, the employee is subject to disciplinary action, including possible termination of employment.

  • New Hires - First day  in the office, new hires will be unable to  use time clocks until they have registered their badge.
  • An employee  starts/ends their workday  at a facility/area where a physical  time clock is not available.
  • An employee  needs to adjust the time clock entry to account for time worked prior  to badging in (e.g. an  employee is stopped by a co-worker and engages  in business-related discussion prior  to the  employee badging in on the time  clock).
  • Employees  are approved for longer meal periods (e.g.  Unit appreciation/business meal). In this situation, employees can manually  record the IN from the  meal period or adjust  the time clock entry if necessary.
  • A time  clock is not working properly  and there is no other time  clock available.
  • An employee forgets/loses  their badge            
    • Is issued a temporary badge - Do not register a temporary badge. Temporary badges cannot be used with the time clocks.
    • Is issued a new badge - The new badge  number will need to be registered before the employee can begin  using the time clock again.

It is acceptable to work additional hours and then take “flex time” off without pay, on another day WITHIN THE SAME PAY PERIOD as long what three requirements are met:

  • The employee MUST receive pay for all hours actually worked during the pay period, 
  • “Flex time” must be taken within the SAME PAY PERIOD when the additional hours are worked, AND 
  • If the employee, for example, actually works more than 40  hours during the first week of the pay period, the employee MUST receive pay at  the employee’s overtime rate of pay for any hours worked beyond 40 hours during  the week, even if the additional hours worked are offset by taking “flex time”  off without pay in the second week of the pay period.
