July 28th. The exception is for students enrolled in summer without grades by the end of August.

The class counts as attempted but not earned and could impact the percentage passed and max attempted.

Authorized administrator list on the intranet under forms and application has a checked mark next to their name. Keep note of the undergrad vs grad tabs at the bottom of the sheet.

What does DEFM, DEFC, DEFG stand for? 

DEFM- Deficient maximum units. The student has hit their attempted credits, an AEE is needed. 

DEFC- Deficient cumulative units. The student is below their percentage of earned vs attempted credits, a SAP appeal is needed. "possibly AEE for graduates"

DEFG- Deficient GPA. The student is below their GPA, a sap appeal is needed.

For an undergraduate and graduate student to be approved for SAP, what is the maximum number of credits they are allowed to mathematically catch up?

Undergrad is 21 credits or less

Where can students view SAP summary calculations detailing their progress?

Students can see a detailed summary on the student center>navigate to fina-under finances “click on SAP link” This gives them the percentage of earnings, GPA, and the number of credits needed to catch up.

Can a student be approved for a SAP appeal for Fall 2021 if they were deficient SAP in 20-21 and never had an extension? Is there an exception to this?

Students would not be approved as the appeal would apply to the first semester they are not meeting progress. The exception is if they did not enroll in 20-21.

If an authorized admin says a graduate student has 20 points of non-applicable credits from a prior program, what box on the maintain SAP page should be updated to account for this in subsequent years? 

Attempted max unit box on the career exceptions tab. This should be the non-applicable credits plus the student's 130% threshold.

What does DEFN stand for? 

DEFN- Deficient Maximum credits. The student has hit their 150% mark and cant be reviewed for any federal aid. 

Please note, if an AEE is submitted with a credit load that will exceed the 150% mark you can still process the student up to their limit. ie GE says a student needs 12 pts but stu only has room for 8 pts, you can process the 8. Stu will be coded as approved not DEFN.

At what percentage do we stop a student's federal aid even with an AEE? Using this answer, if a graduate student's 100% point is 36 credits, what is the maximum number of credits that can be attempted via an AEE? 

150%. 36 x 1.5= 54 credits max.

In what scenario would you as a counselor need to add an AEE checklist for a graduate student? 

If a graduate student is flagged for progress but self-identifies taking credits in a prior program or degree that is not applicable to their current degree, we would prefer that they submit an AEE form to ascertain the total number of non-applicable credits.

Students can request a progress appeal more than once, for what reasons?

-For a medical reason if doing a medical sap appeal.

- If the student did not enroll, we can move to a subsequent semester. 

-Student did not meet the medical appeal contract but can be approved for regular sap appeal.

If a grad gsas student is passing 12/36pts and an AEE is submitted for incompletes of 14pts, can you approve?

Yes after verifying the incompletes are on the transcript, adding them back in as earned credits will bring the student to 72% completion rate.  Student is required to be at least 67%.
