The minimum number of billable hours/clients we ask for from recruited/onboarding providers.

What is 12 to 15?

100

This is one of the most important things a provider can setup for themselves to be successful in private practice.

What is a schedule?

100

Generally speaking these days and times are preferred by clients, therefore if you're looking to build a practice and can sustain these day/times, going with these hours can only benefit you.

What is nights and weekends?

100

This is the most requested appointment type by clients calling in.

What is in person appointment?

100

I ask this when a provider is trying to work too many hours at odd times of the day.

What is your ideal/dream schedule?

200

The number of clients you should get curious about and start asking: How many clients are you currently seeing? What is your plan to ramp up a caseload of that size? How frequently will you book your clients out? What is your ideal number of clients to see per week? How much revenue are you looking to generate in your practice?

What is any number of clients?

200

This is the most preferred time by clients, therefore the most likely times a provider will get new referrals. This is key for Associates, and all providers looking to ramp up quicker and see their demographic of patient.

What are nights and weekends?

200

You should do this when a provider is talking about lessening their billable hours below 12.

What is get curious and understand the context, give best practices? What is letting Sarah know?

200

This is the quickest way to be successful in private practice.

What is seeing clients in person at one of our WA/OR Locations?

200

I ask this when a telehealth provider only wants to see kids.

What days and times do you think you'll need to be available to capture your demographic of client?

300

This number of billable hours/clients seen per week should raise a flag in your mind to start asking questions about ramp up expectations and what is possible.

What is 30?

300

This is the number of patients most seasoned providers say they can see in one setting without a break.

What is 4-5?

300

These times of day are not recommended because clients won't be available or looking to take those times with other options available.

6am, 7am, 9pm, 10pm.

300
Encouraging providers to do more than one day in person because there's a client demand, and low supply.

What is practice management/our expert advice?

300

I say this when a provider is not open to my feedback about a schedule setup. They want to see 40 clients a week 5 days a week. I want to see them ramp up in a staged way that feels sustainable, they can focus on retention, learning the system and building their caseload in a healthy way. Think Chris Voss...

I can see that building this practice is important to you, you want it to be succesful and ramp up. What I can tell you is that you won't get 30 clients in your first week. Why don't we start with 3 days/20 hours, then once that is filled open up that 4th day?

400

This number of billable hours is something to get curious about, as they won't see the value of private practice with Mindful Therapy Group and might experience dissatisfaction or fulfill their fear of not succeeding.

What is 12 or less?

400

This is the number of clients that most providers say they cannot see in one day because they don't feel effective and present.

What is 8 or more?

400

What I've seen be most successful is starting with 18-22 hours, then adding that 4th day or those additional hours once you've ramped up.

What is the generalized other?

400

What you should advise if a provider is starting telehealth but wants to add in person.

What is reserving day/times? - Not starting out seeing TH clients at those day/times they want to be in person. If they build TH clients during those times they won't be able to transition to seeing clients in person.

400

Providers will choose their hours and number of clients they see. That being said, it's our job to provide specialized meetings and attention to guide providers to be successful. We do this by ....

What is generalized other? What is motivational interviewing? What is consulting?

500

Focusing on solid chunks of time, client preferred days of the week, starting with 18, and building in a plan to ramp up to 25 or 28. Booking most clients out weekly recurring at the same time of their intake appointment. Valuing services by setting attendance expectations during the intake session.

What is the best setup for a successful ramp up in private practice?

500

This provider has an outside practice and is scheduling those clients on the same days and times they see their Mindful clients.

What is split mind?

500

Because this is the most popular time providers are trying to see clients, it may result in a slower ramp. This provider will need to market themselves more and be diligent about retention. They'll also need to tamper their financial expectations. It could take 2-6 months to ramp this practice depending on specialties and insurances.

What is midday/midweek? Monday-Friday 8am-3pm hours.

500

This is one of the best ways providers see their practices ramp, better retention, more value for their services, intention for clients and longevity in private practice.

What is seeing clients in person?

500

Being available for clients from 8am to 8pm, booking outside of available hours or being available for clients more than 4 days a week.
