 BGCAZ employees do not participate in games or activities with youth. 

Interaction with members should be primarily to provide guidance on an activity or to prevent undesirable actions and injuries.

What type of inflatables are allowed for in-house field trips?

Only single-user inflatable slides are permitted; bounce houses or any inflatables allowing multiple participants simultaneously are prohibited to prevent injuries.

What does the Americans with Disabilites Act mean?


Pursuant to federal requirements, BGCAZ Branches are required to act in a non-discriminatory manner and to make reasonable accommodations to provide equal opportunity and service to individuals with disabilities.   The Americans with Disabilities Act (ADA) applies to places of public accommodation, and includes day care facilities, recreational facilities and summer camps, among others

What is line-of-sight and how can staff ensure it?

Active monitoring where staff can see everyone in the room. Staff can ensure it by having active supervision and constantly walking around

What is the only way we would have Youth workers under 18yrs old working at our club?

Through the Work-Based Learning Programs (i.e Emerging Leaders): A program available to youth members aged 14-18 with defined roles and responsibilities for participants.

What needs to happen before members start using computers and technology at the club?

BGCAZ employees and volunteers will provide digital citizenship and technology safety training to all members who use computers and/or access the internet, promoting responsible device usage. Members are required to complete this training annually. Clubs must also ensure that any member who joins mid-year receives the appropriate training upon enrollment.

With Swim Field trips will everyone be welcomed to join a swimming field trip regardless of swimming skill level?

NO 

Only youth identified as intermediate or advanced swimmers on the field trip permission slip are allowed to attend swim-related field trips. For safety reasons, youth identified as weak or non swimmers will not be permitted to participate.

How do we define one on one contact? How do we avoid it?

One on one contact is defined as any private physical contact or communication, including electronic communication, between any member and an adult, including BGCAZ employee, volunteers, board members and other who might encounter members during regular programming and activities during Club and non-Club sponsored activities. Staff ensuring there is 3 people present during all interactions

Do we need background checks for our youth workers to work here even though they are minors?

Yes, Criminal background checks are required for all employees, volunteers, and anyone with direct or repetitive contact with youth members, including minors. Parental consent is necessary for minors.

For Field trips what are four safety precautions we take?

Name Tags: Recommended for grouping members effectively. 

BGCAZ T-Shirts: All members must wear their BGCAZ field trip shirts for easy identification.

 Staff Attire: Staff must wear shirts in a distinctly different color from member shirts to prevent confusion and allow for quick identification.

  Head Counts: Staff must conduct frequent head counts throughout the trip to ensure all members are accounted for at all times.

What do we need to do to get more information on the childs limitations so that we can determine if we can accommodate the child?


Gather as much information through discussions with parent/guardian as possible upon registration, so that a complete understanding of the nature of the disability and limitations is understood (don’t just rely on information in the application).

Yes, Youth workers' behavior and interactions with other youth should be monitored to ensure that no inappropriate relationships are formed outside of the established program structure.

 Who is responsible for the safety of the members during a swim field trip while members are using resstrooms and on deck? What is the swimmer to instructor ratio? Lifeguard to swimmer ratio?

 BGCAZ staff sole responsibility is to ensure the safety of the program on deck and assist flow of participants and ensure bathroom policy is follow.  Lifeguard ratio: 1 certified lifeguard to 25 swimmers.  Swimming lesson ratio: 1 Instructor to 6 swimmers.

What would be "not readily achievable” factors where an accommodation would not be doable for us to accommodate?

Undue Burden: When and accommodation creates excessive financial or administrative or structural hardship.

 Safety Concern: When it is not possible to provide care for a disabled child without risking his/her safety, or that of those around him/her, or violating any other policies or procedures in place from the organization.

Significant Alteration: When the accommodation would operate as a significant disruption to other participants, or to the program (altering program activities, diversion to planned destinations, participation in routine events)

As a staff what do you need to do if you see or hear any sort of sexual comments or interactions?

If any person initiates sexual action or a conversation about sexual matters with any person the BGCAZ employee or volunteer shall stop the action and/or conversation and report to the supervisor.

What needs to happen if a youth worker violates the private interactions policy?

If any youth worker violates the policy on private interactions, supervisors must take immediate action to correct the behavior and re-emphasize the rules. • If a youth worker is found to be interacting with members outside their role, supervisors should ensure that the behavior is documented, and corrective action is taken.

Per policy as staff are we able to take personal devices from members? 

Members will take full responsibility for his/her personal device and will keep it to himself/herself at all times. BGCAZ employees and volunteers shall not take responsibility by holding a member’s personal devices. 

BGCAZ employees and volunteers are not responsible for the security and condition of the members personal device, The Club is not liable for the loss, damage, misuse or theft of any personally owned device brought to the Club. Members may not lend their device to any other Club member or staff.

Before going on a Field trip what is required to do for it? What does staff need to take with them on day of field trip?

Field Trip Planning Document form must be submitted to BD. BGCAZ Field Trip Planning document and permission slips must be uploaded to SharePoint prior to departure. Permission slips must be brought; field trip backpack must be brought and remain with staff. Medication forms, medication log and medications must be brought (if applicable).

What happens if the child is showing unsafe behavior but there were never reasonable accommodations requested from the parents?

If the parent/guardian does not request reasonable accommodation, but the club has observed unsafe behaviors, Branch Director or Program Director must communicate to the parent/guardian and set up a Behavior Plan. See SOP. 1.7 and ADA Reasonable Accommodation Flow Chart.
