If you are setting up a Student Field and realized you selected the wrong field type but you've already clicked save, what do you do?

You have to delete the whole thing and start again.

When setting up a Student Field in the System Column, what is the difference between Local and System?

Local are student fields set up by the district and System are the student fields hardcoded by Focus.

When setting up a Logging Field, under the Options section, what does Show School Year do?

This adds a school year column to the logging field. This will automatically be enabled for the Industry Certifications logging field. You can now see that 2 drop-downs display to assign profile permission to the school year.

What is the difference between Text and Long Text?

Text-best for capturing short answers with an unlimited number of possible answers. Usually 50 characters or less.

Long Text-best for long answers or capturing notes from counselors, teachers coaches, etc. When setting up Long Text there is an option for Rich Text which opens a rich text editor when profile is entering notes.

What happens when you select the Visible on Discipline Referral?

When selected, the field will be visible on the student documentation link on student referrals. The purple icon in upper right corner of referral.

What happens if you leave the schools field blank on the Category setup?

All Schools will be assigned.

Once you enter the Title of the Student Field and other required information and Click Edit Field, what happens?

You are taken to a pop up window where you continue setting up the Student Field. Depending on the type of field, the options may vary.

How do you rearrange columns in the logging field?

Go to the student field, scroll down to the logging field setup at the bottom of the page. Click the left/right arrows to move columns.

What does the Placeholder field do?

Placeholder fields are used to separate sections on a page. A placeholder can function as a heading, or can include a URL.

When setting up a Student Field what does the "l" stand for in the Alias field?

This will auto-populate with a custom_l (number)

And if a name is entered (no spaces) this can be used with the Students_view table when querying the data-base.

What happens when you click the ICON button?

Color-places a colored dot next to student category on list of categories. 

If you choose an ICON from the bottom group, the icon will only show when you open the category.

What is the difference between the Select Categories drop-down and the Sort Order drop-down?

The Select Categories drop-down allows you to determine what categories you want this field to appear on. The Sort Order drop-down determines where the field will appear within that category.

When creating a logging field, how do you add new columns to the logging field?

Go to student field, set all parameters and scroll to bottom of page. 

Click green + sign, add title of column, fixed left, field type within logging field. Click edit pencil and adjust the field as needed. Click Save.

How does the Signature field work?

The signature field allows users to digitally sign their acknowledgement or consent in Focus. Users can use their mouse to sign. When using a tablet, users can use their finger or stylus to sign. This field can be set up to require the user to enter their username and password to authenticate the signature.

When setting up a student field and the required Toggle is selected, how do you hide the required fields from certain profiles?

System Preference.

Hide fields from Add a Student from users that don't have edit permission. This will hide required fields for profiles that do not have access to required fields.

What does the FORM checkbox do?

This should be checked if the category will be used as a form in Focus. When a category is designated as a form, it offers the ability to store multiple, unique instances of information in that tab of the student's record. (ex. IHP-Individual Health Plan).

Once a category has been designated as a form it should NOT be deselected because historical data will be impacted.

When setting up the Student Field and you see the Options toggles on the right hand side, what does Visible on Add a Student Search mean?

This will include the field in the search results when searching for a student on the Add a Student screen.

How do the profile permissions work for Logging Fields?

ADD/DELETE RECORD-gives access to full logging field to add/deleted rows.

DEFAULT VIEW/EDIT-gives access to view/edit the logging field. This permission allows changing rows of data and can be further defined by column.

ON COLUMN SETUP-click the edit pencil and assign permissions for just that column.

When might you use the Computed Table field?

This field type allows users to define a query that will be executed and the results displayed in a table. The table can have multiple columns of data.

If you wanted a table to show the course history for a student. (Athletics)

What does adding a Description under the Options section of the field setup do?

A ? will appear next the field and if you hover over the ?, additional information will display. 

ex. Hidden Student.
