Files reaching inactive status due to normal termination, early termination, court termination, offender death, revocation or other state close-outs will be forwarded to the designated staff member assigned to file imaging within ninety (90) days of the termination date, nothing is removed (except Notice of Privacy Practices form), they will be organized in reverse chronological order (most recent documents on top followed by older documents on bottom) for imaging, once the required file documents are scanned/imaged into a Portable Document Format (PDF), named using the following convention: Last name_First name_DC#, once the file has been named, it must be moved to the correct alpha folder on the circuit server, filed under the offender’s last name, additional information regarding imaging inactive offender files is located in the “Imaging Inactive Offender Files” Technical Manual on the Community Corrections web site.
