A TM is calling about wanting a pay review. They talked to their manager and their manager sent them to us. How do we help?
We send them back to their manager. Please be advised all pay inquires must go through your manager and they will be more than happy to assist. I understand you already spoke with them but please let them know if they have any questions they can reach out to their HRBP or to us and we can point them to their correct HRBP.
We do not inform them of a compensation review form as that is no longer applicable

If I am PRN and meet eligibility requirements for coverage under the Affordable Care Act, can I cover my spouse and family?
Yes. If you meet the eligibility requirements, you are eligible for all coverages.
What is changing for 2023 OE?
Spending accounts (HSA, Medical FSA and Dependent Care FSA) will be administered by WEX.
AFLAC supplemental plans will be administered by Unum. With the exception of Whole Life, any 2022 AFLAC elections will be automatically enrolled in the equivalent UNUM plan.
If you are enrolled in AFLAC Whole Life and would like to change to or add UNUM Whole Life, you will need to enroll in the UNUM whole life plan.

Aetna HDHP Choice Plan Deductible Increase – The Tier 1 family deductible, the embedded individual deductible is increasing to $3,000 (from $2,800) because the IRS has increased the minimum deductible amount to be eligible for a Health Savings Account (HSA). There will be no change to the overall family deductible of $4,000.
A manager is sending an MVR form. What do you do?
You forward the email (because there is an attachment)and put askHR and the manager in the TO section. You then inform the manager you are sending this to our Hr Specialist team to handle. You then drag that reply into the HR Specialist folder and the original email into the DONE folder.

You see she has two HRBPs in the system. You go to the onenote and find that she is supported by Lori. You then email Lori AND Michelle Sprouse to help her
You see that we have already forwarded this to the benefits email. You reply all and ask the benefits team to assist again and CC Kelly Crocker

You will only receive a new ID card if you have made changes to your coverage.
Someone is calling to get ahold of Fenice as she is working on retirement paperwork for her. She wants to talk to her and see when she can expect these back. What do you do?
You teams Fenice and say "Are you available I need to do a soft transfer I had X on the line"
A TM emails and is wanting to file a complaint with their manager. What do you do?
You hit reply all OR forward the email if there is an attachment (so the attachment goes to the ER team) you then inform the TM you are sending this to our ER team to handle. If you are forwarding then you add askHR and the TM in the To: section. You then drag that reply into the ER folder and the original email into the DONE folder.
A TM is calling about a referral or sign on bonus and wants to know when they will be paid out. What do you tell them?
You get Erika or Melissa on the line or send Benefits@prismahealth.org an email if they are not available with the TM information. As we should not be informing them when a payout could come.
A TM is wanting to know the status of their religious exemption. What do we do?
They can look in their worker history or ask their manager to review their status on the manager report. The manager report will be updated once EH uploads the TM information in systoc.

A TM calls and says "Do I need to do anything if I am not making changes to my benefits for Open Enrollment?"
What are the two things you will remind them of that must be changed and will not roll over for this year?
This Open Enrollment is a passive enrollment. If you are not making changes to your elections, there is nothing you need to do with the following exceptions:
If you contribute to an FSA or HSA you need to make your election for 2023 because spending account elections to not roll over.
If you want to continue your Whole Life coverage through UNUM, you will need to re-enroll using the UNUM link.

A TM calls in and says their SSN is wrong. You go to update it in the system but see there is a pending I9 action for them. What do you do?
If we are trying to edit something for a TM (example their SSN is wrong) and you are unable to do so because of a pending I9 action please send an email to HR Ops letting them know the SSN needs to be updated to X and we are unable to edit due to a pending I9. Please do not ask them to cancel the I9 action. Please also CC employee health on any I9 pending action emails!

How are claims processed for my dependents who live out of state?
If you have dependents who live out of state, claims with Aetna providers are covered at the Tier 1 level. The dependent’s address in Workday must reflect the out of state address for claims to process properly.
