How do you properly supervise a program area?

How often should you check Teams messages?
Daily and as often as possible, especially at the beginning of your shift for necessary updates. This is our main communication source for all Club matters. Email should be checked Daily as well.
What is our Mission?
The Mission of the Boys & Girls Club of Cheyenne is to enable all young people, especially those who need us most, to reach their full potential as productive, caring, responsible citizens.
When should program attendance be entered?
Daily, it's required that attendance be recorded on paper and then entered into vision. Each program area should keep a binder of attendance sheets to refer back if/when needed.
What types of shoes should you wear?
Closed Toe shoes must be worn each day.
What should you have with you at all times?
You should have your name badge, your club keys and your walkie talkie at all times.
What should you do after you have read a Teams message?
You should like the message, with your choice of emoji. This is to ensure that the communicator is aware that you have seen the message.
Where should you park at the Club?
You should park in the furthest spot available, so that parents can park closest to pick up their child(ren).
What does the planning sheet consist of and why is it important?
Community Builder, Main Activity, Expectations, Reflection, Recognition, Transition & Materials
This is important for you to keep on track and to be prepared ahead of time. This is also helpful in case you are out and another staff needs to run the program for you.
Should you wear your club shirt/name tag outside of work?
Employees represent the Club in a variety of situations both on and off Club property, especially while wearing logoed items including shirts and nametags. Employees are encouraged to use their best judgment as to when, where, and what non-B&GCC activities it may or may not be appropriate to wear their logoed items and nametags.

Always use other members initials, never their name (if any), be as detailed as possible and turn in IMMEDIATELY after the incident, do not wait until end of the day. Always review with the member and have them sign and date it. Think sheets are designed to be 5 minutes or less, quick re-direct.
What should you do if you are going to be late or out sick?
You should CALL (not text) your immediate supervisor as soon as possible, to allow coverage in a timely manner.
When should a Common Supply request be submitted?
At least 2 weeks prior to your program needing supplies. Please be as specific as possible with what you are needing. Be sure to SHOP the CLUB first.

What type of pants or shorts are appropriate for work?
Dress in a neat and tasteful manner including attire without mesh or rips, and leggings only when covered by other clothing to at least the fingertip length with arms hanging straight to the employee’s side. Shorts must be at least the length with your arms hanging straight down to your side.
How do you report a critical incident? Example: Member shares concerning news
Talk with the member, report to your supervisor immediately and document your conversation prior to member leaving the club. Supervisor will take over from there and follow up with necessary steps and authorities. (We are mandated reporters)
What should you do if you need to take/make a phone call or a text message?
You should request someone to cover your area. Please do not be on your phones if members are present.
What do you do when you find that we have run out of something, something is broke, missing or not working properly?
Let your supervisor know immediately, so that it can be replaced, fixed or brought to the attention of someone that could help in a timely manner.

What should you wear when you go outside with the members?
Florescent vest, so staff can be quickly/easily identified.
What is Code Solo, and how do you prevent it ?
Code Solo means that a staff is alone with a member. When you get down to the last two members, and the last member is called please walk out with both members. Announce that you will be Code Solo, and wait for a response for where the other member can go or if another staff is available to come to you.
When a member is called to go home for the day, how should you communicate with the member and how should you respond over the Walkie-Talkie?
You should kindly let the member know that it is time to go, ask them to clean up what they are working on. Remind them to get all their belongings before they go, and communicate on the walkie that the member is on their way.
If a member is not listening or disagreeing with you, how can you handle this?
Use a calming tone to deescalate the situation, talk with them offline (aside from the group) on their level and have a discussion of what you are needing/wanting them to do and explain WHY.
