What do we do to proof the inboxes?

Go through Current Week emails in the Approvers folders.

Go to ADP Vantage to make sure times were inputted correctly

Make sure the report reflects if their punches were submitted or not.

Once they were all checked, Move the the emails of the day to the Current Week folder under the Archive folder.

Where can I check for an estimate price & DR company in the area of the CCP?

In the "Debris Removal Contacts ZIpcode finder" Excel Spreadsheet

Click CTRL + F and enter zipcode you are looking for to find your match quicker.

What approx. timeframes are the admin reports due?

Date Change- AM Team on reports works on it between 7am-8am

AM Report- Between 10:30am- 11am(the latest)

PM Report- Between 1pm- 2pm

Which admin is responsible for checking the CSG Admin inbox and the CSG inbox daily?

EVERYONE is responsible for checking BOTH inboxes through out the day.

Each Team is responsible for moving the emails tagged their teams color to their corresponding folder.

When do you need to tag a coordinator in the TEAMS Channel post when posting the reports?

- If info for DR is missing in the report AND the CCP record, but DR/Dumpster booking is required

- Side note: Sometimes the customer lets them use their dumpster for DR, so double check for that OR if it is a White Glove/Lakeshore Truck Delivery, where they take care of everything.

- Any unusal hours (Daily shows as 16 hours when they only worked 4 hours(auto 8 rule applied))

- Any red flags popping up on their timesheet.

What do you do if your zipcode isnt popping up in the "Debris Removal Contacts ZIpcode finder" spreadsheet?

Time to do some research!

Go to google maps, enter your CCP address in the search bar and click the Search button.

Click on the Nearby button to search for Debris removal companies (Mom n Pops) in the CCP's area.

Contact a Mom n Pop like a regular DR booking through email. If they are not responding or do not have an email available, Call them for a quote.

Where do you find the packing list to attach to the paperwork?

Go to the CCP record (if in classic mode on SF)

You can click on "View Packing List" 

*You will have to log in to Intranet first*

Change the download type to "Adobe PDF"

Download and save in your files in a folder labeled Packing Lists with the Order # added to the file title.

When sending a welcome email what are the 3 things we need to look for?

1. If they are located in a state where SHT is required or not, to determine which email they will be sent. 

2. If they are set up with an Employee ID (If not, so Jesse can add their ID #)

3. You will also need to find out the coordinators extension to add to the email.

What are the relevant highlight colors for the meal penalty section in the spreadsheet, and what do they mean?

Green- Meal Penalty is showing up on their Timesheet

White/No Fill- Email was sent to the worker regarding their Meal Penalty

Yellow- Worker responded with their meal punches and Penalty was cleared from their Timesheet.

Before going on Vacation what do you need to do before hand?

1. Get approval from your manager for time off

2. If you are using vacation hours, once approved by your manager, submit your request to use hours in ADP.

3. Look for someone to cover your desk (preferably your partner admin first)

4. Send a message in the "CSG- Time off/ Schedule Change" Chat letting the team know of your absence, including the dates, who is covering and who to reach out to. 

5. Make sure to add your time off to the "Sales Support Vacation Calendar" (Outlook calendar) AND the "CSG Time Off Calendar" (Excel Spreadsheet). If you don't have access, ask for someone with access to add it for you and ask for access to IT.

What are the steps you take after receiving missed punches from a CCA?

1. If you have not pulled the report yet, Double check to see if the worker has a WA for the day that they are submitting punches for. If there is no WA, confirm with the coordinator to see if they were scheduled and to add the WA to their page.

2. Once confirmed to have worked, Go to ADP Vantage and add their punches to their timesheet.

3. Once that is done, Head to the CCA Reports 2024 spreadsheet and add the workers details under the corresponding date and in alphabetical order from last name (include the CCP ID and the workers email)

4. Reply to the workers email/text message to confirm that the punches have been received by SalesADP and make sure that you include the date of the punches submitted.

At what price or weight do we need to request a dumpster?

Dumpster can go by 20CY and 10 CY depending on the company.

Some have dumpsters up to 30 and 40 CY

Passing the Full Load CY maximum of 18CY could require you to look into a Dumpster booking.

If the Est. CY comes out to 28 CY, but it would be cheaper to get a 30 CY dumpster instead of a DR company to do a Full Load and 2/3 Load, then we would book a 30 CY instead. 

But, first, you would have to confirm with the coordinator to see if booking a Dumpster is okay with the customer. Some customer dont like dumpsters being dropped on their site and would prefer someone to come pick up the debris.
