What is the protocol for a physical altercation?

If a physical altercation takes place at Excel or in the community, all involved parties will be sent home. Involved parties will not be allowed to attend Excel until a team meeting is held to discuss the incident. At the team meeting, a plan will be made to prevent future physical altercations. Involvement in multiple physical altercations may result in discontinued services.

What is our personal item policy?

Attendees are limited to bring ONE personal item, such as a bag or backpack to Excel. Any loose items they bring must fit into the single personal item. Blankets and pillows must remain inside the personal item while at Excel, and may not be used in the program due to safety concerns.

What is our Staffing ratio?

The Excel Day Program will maintain a consumer-to-staff ratio that is no more than 6:1. Excel Day Program is a group service and 1:1 staffing will not be provided.

What is our PTO Policy?

PTO is accrued from date of hire, but cannot be utilized until 90 days of employment. When taking time off from work, staff must use PTO. No more than 40 hours of PTO may be rolled over to the following calendar year. PTO hours over 40 will be lost. PTO should be scheduled a minimum of one week in advance with your direct supervisor. Supervisors may request documentation, such as a doctors note, Revised 07.10.2025 for unscheduled absences. Frequent unscheduled absences may result in a write up, and be subject to termination after multiple offences.

What is the protocol for a threat?

Threatening Excel staff or clients will result in the attendee being sent home. Threats will result in a one day suspension.

Policy on Electronics and Internet Access?

Excel Day Program does not provide Wi-Fi. Clients may access public internet in accordance with their ISP guidelines. It is recommended that electronic devices be left at home to avoid being stolen or broken.

What is our protocol if the individual would like to switch the group they are in?

Each client attending Excel is placed in a group with other individuals and staff. If the individual is not satisfied with the staff in their group, they may request to be moved to a different group by speaking with their program coordinator.

How are medications brought into Excel?

Must be brought in by caregiver or Excel Staff.

What is our overtime policy?

Overtime must be approved prior to working the hours. Overtime that is worked without prior approval will not be paid.

What happens if a client has a behavior that results in property damage?

Behaviors resulting in property damage or attempted property damage will result in the client being sent home. The client will be suspended from the program until a team meeting is held to discuss the incident. At the team meeting, a plan will be made to prevent future instances of such behavior. If the client is involved in multiple instances of property damage or attempted property damage, or it appears that the client will not remain safe, services may be discontinued.

What is Excel's attendance policy?

Clients who attend Excel will have a regular schedule. At enrollment, the client will choose specific days of the week to attend. If a client is absent, they may not attend on an unscheduled day as a make up day. Excessive absences may result in discontinued services.

What is the supervision level while clients attend Excel?

Clients are required to be in line-of-sight supervision of Excel staff at all times except when using the restroom.

What is required for the client to have medication administered at Excel?

A current signed PO or current script if their is not a current PO.

How many hours must you notify your supervisor when calling in for your shift?

4 hour notice prior to the start of your shift.

What is the course of action for an elopement?

Excel attendees are required to sign in when arriving to Excel and to sign out when leaving Excel. While at Excel, clients must remain in the line of sight of staff. If a client elopes while at Excel or in the community, the individual will be sent home. Excessive elopements will result in discontinued services.

If a client, caregiver or guardian has a grievance to file, what is the protocol?

If an individual or support team member holds a grievance with the Excel Day Program or an affiliated employee, the individual should first report it to their program coordinator. The individual may choose to report the grievance directly to administration if the grievance is not handled at the program coordinator level. The grievance can be made to the Business Office by calling (417)255-8781 and speaking to the director, or by emailing info@werestorehope.com.

When are Therap notes required to be entered by?

Therap notes must be completed for the current week before a staff member clocks out for the final time that week. (Notes for Monday – Friday are due when a staff member clocks out on Friday). Program coordinators will review notes on Monday and provide staff with a list of missing notes. Staff will input any missing notes by the end of the day on Monday. When notes are missing on Monday, program coordinator will meet with staff and complete Missing Notes Documentation Form. If 2 Missing Notes Documentation Forms are completed in the period of 4 weeks, a write up will take place. After three write ups, staff is subject to termination.

What is our communication policy with host homes, natural homes, staff, guardians, etc?

Excel employees should not have communication with host homes, natural homes, residential staff, guardians, etc., regarding consumer behavior or progress at Excel. Any matters that need to be communicated to support persons should be communicated to Excel Program Coordinator who will handle all communication with support team.

What is the protocol for stealing?

Restoring Hope is not liable for items that are lost, stolen, or missing. If an attendee steals from Restoring Hope, other clients, or in the community the client may be sent home. Excel program coordinator may use their discretion for further corrective action.

What is the Visitor Policy for clients?

Due to safety concerns, Excel attendees may not have personal visitors such as extended family, friends, or significant others without prior approval from the Program Coordinator. This policy does NOT apply to guardians or members of the individual’s support team, including their support coordinator, program manager, caregiver, etc.

If an individual would like to have access to political events, what is our protocol?

If a client wishes to have access to political events and activities, such as but not limited to city hall meetings, polling stations, political gatherings, and television programs that take place during program hours, a request can be made to your program coordinator.

Are Debit cards allowed to be entered on personal devices?

Direct Support Professionals will not be allowed to enter the program debit card data on any website, app, or wallet on their personal mobile device. DSPs will not have access to log into such apps, such as Walmart, Sonic, or other program accounts that are used to make program purchases. All mobile purchases must be made by the Program Coordinator, using a Restoring Hope provided device, such as their laptop. If DSP has unauthorized card data stored on apps, personal mobile devices, or websites they will subject to corrective action.

What is our cell phone policy?

Excel staff should not use their personal phones to contact families or consumers. Staff must take a break for personal phone calls. Personal phone calls should not be made in front of consumers. Laptops, tablets, and other devices should not be used while clients are present.
