If your client session ended at 2:09pm, Central Reach should be updated to reflect a 2:15pm end time before converting your session.

Admin time is not provided for RBTs when sessions end early regardless of the reason.

Schedules are finalized every week on Mondays. The schedule is finalized for the following week.

I just received an email from the scheduling team that my client session from 8:00am-11:00am next week Monday has been canceled. They have added a "Client Cancel Placeholder" to my schedule and have told me to plan to work the scheduled shift until I am notified by scheduling that there are no coverage needs. Do I need to plan to come to work at 8:00am on Monday?

Yes, you should plan to come to work at 8:00am unless you are informed by the scheduling team that there are no coverage needs and you do not need to come to the clinic for session.

I am scheduled to start working at 8:00am today. It is now 7:15am and I was just notified that my client canceled and there are no coverage needs at this time. Do I qualify for admin time?

Yes, if RBTs are notified of a cancelation less than 1 hour prior to session start time, they will be offered admin time equal to the full duration of the scheduled client session. 

Staff may choose to opt out of "Late Cancelation admin time" if preferred. Staff must check in with a Floor Supervisor at the start of their admin time.

If I am trying to submit a time off request in Prism, when is the latest I can submit my request?

Time off Requests in Prism must be submitted no later than 30 days in advance.

I am running late for my session. What should I do?

RBTs should call the clinic whenever they are running late for session regardless of what location they work (clinic, home-based, DOE). 

RBTs should provide their estimated time of arrival and their client initials. Please leave a voicemail if no one is able to answer the call.

Before leaving the house to come to work, what should I do to confirm whether or not my schedule may have changed that day?

RBTs should check their email each day before leaving the house and coming into the clinic. 

The scheduling team will communicate any schedule changes via email. Please look for "SCHEDULING" in the subject line for urgent schedule change information.

It is 8:00am and I have not heard my client's initials called. What should I do?

RBTs should immediately check in with a Floor Supervisor if they have not heard their client's initials. If the client is late, the Floor Supervisor will assign the RBT a task while waiting for the client to arrive. This may include coverage for another client. 

Floor Supervisors will alert Front Desk to contact family for an ETA.

This week I am scheduled Monday - Friday from 8:00am-2:00pm. I currently qualify for the guaranteed admin program. 

It is 7:00am on Tuesday and I was just informed that my client session today from 11:00am-2:00pm has cancelled and there are no coverage needs. Do I qualify for admin time?

Yes, you qualify for admin time. If the 11:00-2:00 session were removed from your schedule, you would only have 27 hours scheduled for the week. 3 hours of admin time will be added from 11:00-2:00 to ensure the 30 hour weekly scheduled minimum is met.

If I am trying to request Malama Moni Coverage "MMC" (often used as a back up for a denied time off request in Prism), when is the latest I can submit my MMC request?

Malama Moni Coverage requests must be submitted no later than 10 calendar days in advance

I called out sick today and sent an email to callouts report my absence in advance. I was scheduled from 8:00am-11:00am with client AbCd and 11:00am-2:00pm with client WxYz. How many points would I accrue today for my absence?

An RBT would accrue 1 point for their reported absence, regardless of how many sessions they were scheduled that day.

Due to my client running late, my session times are incorrect. Who should I contact to have my schedule updated?

RBTs should contact Central Reach Help centralreachhelp@mpacfamily.com to make any changes to their schedule. RBTs should wait for changes to be made before converting their session.

 This applies to all administrative and client sessions.

This week I am scheduled Monday, Wednesday, Friday from 8:00am-2:00pm and Tuesday, Thursday from 8:00am-5:30pm. I currently qualify for the guaranteed admin program. 

It is 7:00am on Monday and I was just informed that my client session today from 11:00am-2:00pm has cancelled and there are no coverage needs. Do I qualify for admin time?

No, you would not qualify for admin time. With the mentioned schedule, your weekly hours are typically 36 hours weekly. If the 11:00-2:00 session were removed from your schedule, you would still be scheduled 33 hours for the week which would be above the 30 hour weekly minimum and admin time would not be offered.

If I am trying to request Future Session Coverage "FSC" (often used as a backup for a denied time off request in Prism or if it's too late to submit a MMC request), when is the latest I can submit my FSC request?

Future Session Coverage requests must be submitted no later than 4pm on the previous business day (on Friday for a Monday session).

I had multiple instances of absences and tardies this month, so my total points accrued for the month was 3.5 points. This is the first time this has happened. What would happen next?

When an RBT accrues 3 points in a month, for the first instance, they would be scheduled a check in meeting with their direct supervisor. The point of this meeting is for the supervisor to check in with their RBT and see if there is anything that MPAC can do to support the staff.

If I need to change my availability, how long will that process take?

An updated availability may take 90 days to go into effect.

As a new hire, the process can take up to 6 months to go into effect. New hires were onboarded to align with new client schedules who are also onboarding. When a new hire changes their availability, it can affect a new client starting treatment so staff may be held to their original availability for this extended period.

I was notified that I have a "Client Cancel Placeholder" on my schedule for tomorrow. Who should I contact to request not to be scheduled with a coverage session during my placeholder?

Staff should contact Central Reach Help centralreachhelp@mpacfamily.com prior to the scheduled session and request not to be utilized for coverage. 

Please note, you still may be scheduled for session coverage if there are coverage needs and should plan to come into work unless notified that there are no coverage needs.

No, you would not qualify for admin time. 

Although your worked hours for the week would fall below the 30 hour minimum, calling out sick may impact an RBT’s ability to maintain the minimum 30 hours per week. 

30 hours per week averages approximately 6 hours per day. For example, one missed day would typically result in about 24 scheduled hours and two missed days would reduce further to about 18 scheduled hours. With your remaining weekly hours totaling 21 hours, admin time would not be offered.

When is the latest I can cancel a time off request? (Applies to cancelling PTO, LWOP or MMC requests)

Staff need to request to cancel a time off request by the Monday of the previous week. If requests are submitted after the due date, the appointments may not be added back to the schedule because coverage has already been confirmed with another staff member.

If I have to be absent unexpectedly for an extended period of time due to my health concerns, or possibly to care for a family member with health concerns, who should I contact?
