What is step 1 of missing camper protocol?
Step 1: Minute 0-2
Remain calm and conduct an immediate visual confirmation AND roll call of Campers in your group in yourcurrent location
Has camper been found?
Yes: Calmly share with camper of importance of remaining with group at all times.
No: Move to Step 2
If you hear a fire alarm...
Evacuate the building via nearest exit and DO NOT use elevators
Proceed to an assembly area across the street and away from the building
Keep access ways and roadways clear
Await instructions from Campus Security
When the All Clear signal is given, re-enter the building through the main entrance
Chaperones are expected to.... during travel
take the safest routes possible, followingrecommended walking routes and street crossingpoints established and provided by Supervisor
Routes should minimize the number ofintersections/road crossings that need to becrossed
upon arrival or travel chaperons must:
Conduct a headcount to verify all Campers are present
If at any point a Camper goes missing, Chaperones are to follow procedure for Responding to MissingCamper
can campers bring their own medication?
Campers will bring their own medication and are aware of our policies.
It is our expectation that parents have communicated with us any medications the students will be bringing -student campers have the responsibility to administer their own medication
We are made aware if student campers have devices such as inhalers or EpiPens
What is step 2 of missing camper protocol?
Step 2: Minute 2-5
Inform Chaperone Supervisor providing:
- clear visual description of camper (height, hair colour, gender, distinguishable marks, area last seen).
Has camper been found?
Yes: Immediately notify Chaperone Supervisor. Have the camper meet with you and Supervisor to review safety protocols.
No: Move to Steps 3-5
A fire alarm is pulled in the night, what do chaperones do?
Knock on doors around you and evacuate Watts using stairs
Upon safely evacuating Watts Hall, the Chaperone On-Call is to report the fire to Campus Security
While one chaperone calls, the others are expected to assemble student campers and conduct a headcount.
Communicate to Security that a student is missing with a detailed description.
Chaperones are expected to keep students calm while emergency services arrive on scene.
Chaperones must communicate and ensure re-entry to Watts is only allowed once the ‘All Clear’ has been given by Security.
Before travel:
Before departing from any location, Chaperones must assemble Campers to review walking safety rules:
Stay within the group and listen to your Chaperone’s instructions.
Walk with your head and eyes up. Don't be distracted. Be aware of your surroundings.
Walk, don't run.
Campers are to be guided to walk in an orderly fashion (stay in a tightline).
Chaperones have the ability to make route adjustments ‘on the fly’ if there is concern for Camper safety.
during travel For crossing roads, Chaperones must:
Make every effort to locate controlled intersections with traffic light. If not possible:
Ensure you have unobstructed view of roadway, stop, wait until there are no vehicles before crossing.
Under NO CIRCUMSTANCES is “J-walking” permitted
Once crossed, Chaperones must move group immediately away from road
can chaperones give medication?
Chaperones cannot administer or provide any medication to students.
In an emergency situation, Chaperones are permitted to administer medication such as EpiPens
What is step 3-5 of missing camper protocol?
Step 3-5: Minute 6-10, 11-15. 15+
Continue to search for camper until otherwise informed. Maintain contact with Supervisor and other Chaperones to co-ordinate efforts.
Has camper been found?
Yes: Immediately notify Chaperone Supervisor. Have the camper meet with you and Supervisor to review safety protocols.
No: Contact Campus Security and they will contact Police, Supervisor contacts parents.
After a fire alarm, the chaperone on call...
The chaperone On-Call must create an incident report and forward it to Supervisor as soon as possible outlining what happened and the steps that were taken to ensure safety and adherence to protocol.
During travel:
Chaperones are to ensure that all Campers are accounted for by means of a group head count
Position a Chaperone at the front (to lead the group) and one at the back ( to keep active eyes on allCampers)
If there is a third Chaperone, they should be in the middle to keep active watch.
Groups are to stay on sidewalks and cross the roads at crosswalks or controlled intersections with trafficlights or stop signs
In the event of inclement weather: before an activity
Outdoor and offsite activities will be cancelled at the discretion of the chaperones
Indoor activities will replace the scheduled evening activities.
Chaperones and students are expected to stay in residence during inclement weather.
how will chaperones know students medical needs?
The Chaperone Supervisor will create a list of students and their medical concerns and place it in the on-call medical backpack.
Is there a difference in missing camper procedure between on and off campus?
If you are on campus with your group of campers when one goes missing:
Conduct a head count and remain in your location
If you are off-campus:
Conduct a headcount, ensure campers are in a safe location and remain there.
Where is our safety meeting spot for when a fire alarm is pulled?
across the street from Watts hall on the grass near Leonard hall
Before crossing, Chaperones must:
Instruct Campers to not stop if they drop anything or left anything behind
Ensure entire group continues to cross the road without stopping
For crossing roads, Chaperones must:
STOP the group before crossing, look left-right-left and behind
Wait with group at corner and proceed after confirming all cars have stopped
When crossing roads as a group, give ample time at traffic lights for whole group to cross
if inclement weather occurs once chaperones are off campus:
If off-site, chaperones must bring campers to a safe site indoors and conduct a headcount
If on-campus, remain in Watts or closest open building until weather subsides
Communicate with Chaperone Supervisor if off-site or if scheduling changes
who can chaperones give campers medical info to?
In the event a medical situation arises, chaperones can consult this list to communicate with emergency services and to provide care to affected camper.
After the camper has been found...
After the Camper has been found:
Fill out an Incident Report for the missing camper and have it submitted to the Chaperone Supervisor forReview
We would follow up with Parents/Guardians, security, and have a chat with camper about what happened
You discover a student is missing after you exit the building during a fire alarm, what do you do?
If a student is missing, DO NOT re-enter the building.
Let campus security know and treat it as a missing camper.
If your Campers get rambunctious when walking you must:
Stop the whole group,
Calm them down,
Remind them of rules before resuming travel
When a need is identified to make temporary stop:
Chaperones must find safe location away from traffic/hazards (water break, issue with Camper)
Group headcount must be taken before continuing travel
