E-signatures are unique objects created when an employee signs a document in HRCenter. Signatures can be added to any form and may also require an additional signature by service rep to sign when processing those electronic documents. Where can you review an e-signature? 

To review an e-signature, first navigate to the employee record in Enterprise. Then locate the document you wish to review. To open the document, double-click the item. This will open the file in your preferred PDF viewer. In the lower left-hand corner, you will find the e-signature.

When an applicant registers themselves in HRCenter, an employee record is created for them in Enterprise & Beyond for you to track their application progress. Enterprise uses email address to check against duplicates entering the database, however additional options for validation can be found in this section. What are these additional validation options?

SSN and Last Name, SSN validation on Registration, Validation Error for Duplicate Email, Validation Error for Duplicate SSN.

Define a workflow and how it relates to pages. 

A workflow is the entire process an applicant will go through (like a book). Each workflow is made up of at least one step (like a chapter or section of the book). Each step is made up of at least one page of information for an applicant to fill out, sign, or review.

The All-in-One Application

  • This application has one single step.
  • All the pages within this single step contain all the information that needs to be filled out for the prospect employee. 

Basic Application

  • This application has 2 steps: 
    • Application - contains pages with information for the prospect to fill out.
      • Application information must be filled out and submitted before moving to the next step.
    • Onboarding - contains pages with forms to fill out and sign such as the I-9, W-4, and background check forms.
      • In order to fill out the onboarding documents, a recruiter must first approve the applicant in either Beyond or Enterprise.

Skill/trade application

  • This application contains 3 steps:
    1. Application -  contains pages with information for the prospect to fill out.
    2. Testing Assessment - utilizing the survey page option, this creates a test for prospects to take.
    3. Onboarding Documents  - contains pages with forms to fill out and sign such as I-9, W-4, and background check forms.

What are dependencies? Provide an example as well. 

Dependencies allow users to hide, allow, or require other sections or fields within a form based on a previous answer given by the applicant within that form. 


For example, in the standard Federal W4 form (included with HRCenter), if someone enters a total number of allowances, they then become unable to list themselves as "Exempt" on that form. The other side of that coin being that if someone specifies themselves as "Exempt" they cannot enter a number in the total allowances field. This is possible because of dependencies.

What are the steps to rejecting the applicant? 

1. Right click their row in the HRCenter search page.

2. Double-click their individual name, which brings you to the details section of the HRCenter dashboard.  With Application Step highlighted, select the reject button.

When configuring the registration section, where does the branch address information pull from? (i.e. the branch drop down information)

Branch address information is pulling from the administration > branch section of Enterprise and can be updated there if needed.

What does a user need to do in order to offer an item in multiple languages (i.e. localization)? Hint: There are 3 steps. 

When offering an item in multiple languages, users will need to...

  1. Be ready to provide the translation. There are no canned translations available in HRCenter Admin.
  2. Create a unique survey and form for every language you wish to offer the survey/form in. For example, if you need to offer a math test in English and Spanish, the test will need to be created twice in the survey builder - once in English and once in Spanish.
  3. Tie the translated pages together. When creating a page from a survey/form with localizations, users will need to state a localization has been created for this item and tie said localization to the new page.
