What should you do when you are unable to work a shift?

Ask someone to cover you in the groupchat and if no one can then speak with your manager.

Note: If someone else is working your shift you must ALWAYS put that info in the group message!

What should you do when you notice that the copies of forms are getting low?

Take the needed forms from the "Master Copy" folder and make some more copies! I usually do 20-30 copies of a form at a time.

Who needs to initially approve EVERY reservation before it is even entered into EMS?

No! Do your work first then you can do other things. There usually is always time for homework :)

Who is the only staff member that requires a physical form for approving events?

Tim Tenon! Print it out and place it in the box next to the desk for him to approve.

The Confirmation drawer is looking messy. Should you:

A) Say: "It's not in my job description. I'm not touching it." 

B) Decide the next person working can deal with it

C) Clean it out as much as you can during your shift when you're not doing other job tasks

C) Keep the desk and its surroundings tidy! That is a great way to show excellent teamwork and pro-activity.

Name 2 reasons why an event should be marked tentative?

1) The event needs catering

2) The event is in a location that another staff member needs to approve first (check the cheat sheet)

What is the difference between a petty cash form and a check request form?

Petty cash form is for $$ below $50 and the check request form is for amounts above $50.

Scenario: Bob stops by the desk and says he lost his car keys. What do you do?

First, ask for details about what they are/look like. Then, check our closet to see if they are there. If they are not, open up the Lost and Found Excel sheet and enter the info and his contact info so he can be reached if we do find them!

Your initials, the date, and who needs to approve the request.

What is an Event Planning form and what types of events require its use?

A special form for when events require large amounts of help such as lighting/stage tech. Think bingo or the fall concert. 

After their request is put in as tentative, have them fill out an event planning form and then the event can be confirmed. Also make the necessary copies and provide them to the proper places.


Hint: Joe usually notes when it needs this form.

Where you find replacement supplies (ex. sticky notes, pens) if we run out?

The supply closet has all you will ever need!

After you make a booking you always add a "Remarks" section. What should you put in that section?

Since staying in Monterey rooms cost $, there are a couple extra steps on EMS. What are they?

1). Add in the room charge for each night they are staying

2). Add in the department number so they can be charged properly

What is the Cavern form and what is the process for using it?

When someone requests to use Cavern during the school year, email them and have them come pick up a Cavern form. They need to take it to Terri Saunders in Cavern and have her sign off and then they bring it back. Until that happens, the event is TENTATIVE.

When are Taxi Vouchers handed out to students? How many does each student get? How do we log them?

Taxi vouchers are handed out on Fridays, Saturdays, and Sundays. Those are also when they can be redeemed. Each student gets 2 vouchers (one for the way there and one for the way back). No exceptions for anyone unless Diane is asked in case of a unique circumstance as this is a huge expense!

To log them, type their student ID number in the space after you click on the "Taxi Voucher" bookmark.

Steve Whatever wants to request the Chapel on 12/5 from 1am-10am and wants 6 tables put in there. Who needs to approve this request? What else do you need to do?

Toni Fazler OR Chris Bowen. Also tell them to contact Building & Grounds about the tables. We only do furniture/AV requests for spaces in the Colket Center.
