How do you get into Workflow?
From the ribbon in the Unity Client, select Workflow.
Note: If using the Web Client, use the hamburger menu (3 lines) in the upper left corner to select Workflow.
From the Hit List in either a Workflow Queue or a Custom Query, what can you do modify the layout?
Sort - click on any column header
Filter - enter the information below the header
Group - drag column header up to the top section
Reorder - drag/move column header left or right
What does the "Send Student Notification" Ad Hoc task do?
This will send a generic email to the student noting the Life Cycle Queue with instruction on Owl Express
Note: there is no automatic notification being generated; only manual
Is Banner being updated automatically by OnBase/Workflow?
No, Banner is only updated manually.
Note: integration is possible in a future phase

What are the buttons at the top of the Unity Client ribbon related to actions you can take in Workflow?
Ad Hoc Tasks
If you select "Remove from Workflow", what happens?
The Driving Document is removed from workflow but it is NOT deleted from OnBase.
What can be done with a Petition once it is sent to the Change Box?
It can be returned to a workflow queue to continue processing
OR
can be sent to Recycle so that it can be removed from workflow and an updated Petition will be included in the next day's data feed.
How do you see the Primary Viewer?
Within the Workflow tab, in the Layout section of the ribbon there is a Primary Viewer button
Can a student have more than 1 Graduation Petition at a time?
Yes, the Sequence Number makes them unique
What does "Send to Recycle" do?
It will put the document in the Recycle Queue until it is removed from workflow that night.
How do you manually add a Grad Petition back in to the workflow?
Find the existing Graduation Petition form using a Custom Query, right-click the document and select Workflow->Execute workflow to send it back to the Grad Petitioning Life Cycle.
How do you see the Graduate Petition Form and additional documents at the same time?
Within the Workflow tab, in the Layout section of the ribbon there is a Secondary Viewer button
Note - once enabled, use the bars between each section to size each window
How does OnBase know which term is active?
The OnBase Administrator has to set the active term
How can you move multiple documents from a queue at once?
Select multiple documents using Ctrl+Left Click to Shift+Left Click (For contiguous documents) before selecting an Ad Hoc Task.
How can you sort your inbox by Reg Major?
By clicking on the Reg Major column heading.
