This document determines incoming first time, first year student eligibility.
What is the EC Report?
WOW! This is used when certifying continuing undergraduate students to determine Free Electives & Percentage Toward Degree (PTD).
What is the WOWIP.
Note: We will typically use a WOWIP from the batch but must run a new one anytime there is a change to the student's ARR AFTER we receive the batch.
Number of satisfactory or degree applicable units needed to pass during the previous regular full-time academic term for eligibility.
What is 6.
Note: This will never change. Well, it might. But, not with current practices. This remains the same whether the SA is an undergraduate or graduate student.
This document is used when certifying PBAC students.
What is the ARR.
We round down and we round up when these are not whole.
What are units completed going towards the 120.
Note: We round down on units earned and round up on units needed to have a whole number to work with.
These are at least two things we check for when certifying an incoming FTFY student.
What are (any two of the following):
1. Did the student graduate high school
2. Is this an international student-CIE
3. Is the student a Special Admit-2% Only (Review Special Admit Log)
4. Final Audit date
5. Did the student attend/take college courses while in HS
6. Is the student enrolled full-time
You hold for this unfulfilled requirement when UD Areas C & D are satisfied on the WOWIP.
What is the GWAR.
Note: Always hold for three units.
Units go from satisfactory to degree applicable during this term.
What is Term 5.
Note: Term 4 we begin to calculate percentage, but units are still satisfactory.
Much like ions, these can be of the negative or positive variety.
What are Free Electives?
Double the fun. These can only be put together by BAC.
What are Double Count Plans.
Note: This is an alternative way for athletes to meet eligibility requirements. These plans utilize single courses that will double count towards two requirements (usually in the UD GE Area and within an athlete’s major).
This is done when certifying a FTFY international student athlete.
What is sending an email to CIE to confirm final audit is complete.
Questions sent to CIE:
1. Is this student a Special Admit? If so, are there any conditions?
2. Is the final admissions audit full clear/no other documents needed?
3. Are all the final docs imaged on OnBase?
When the UD GE & Major requirements will not cover this, additional calculations must be made.
What is the 40 UD Units needed to graduate from CSULB.
Note: Always double check this area to ensure you have the correct count. When you have a calculation with additional UD units needed that are not covered by the free electives, you must incorporate the additional units into the FE and percentage calculation.
This is never counted towards the 18 units of progress.
What are summer units.
This type of certification is done when there is a major switch during a summer or winter term.
What is a split certification.
Note: The "6" & "18" are checked in the old major and percentage is checked in the new major. If the student has already been signed off to compete in the previous major, then we do not need to re-do.
There is a lapse--but not in judgement!
What is an Incomplete Grade.
Note: We calculate what the GPA would be based on the Lapse Grade in their Incomplete Contract and if the student will still be eligible.
The Enrollment Period on the EC Report coincides with this.
What is the first term a student competes at an NCAA school.
WOWIP information will change from student to student in part due to the following.
What is the articulation term, major, or ARS requests.
These two subsets of student athletes are not held to a minimum GPA requirement.
Who is 1st term and PBAC students.
Note: As long as they are not academically disqualified, they can remain eligible, even if they are on warning or probation.
Don't count them out! A part-time student who will graduate in the certifying term is using this Bylaw to become eligible.
What is Bylaw 14.2.2.1.3
An SA on RPT Purposes is not meeting benchmarks but are currently enrolled full-time at CSULB is placed in this status.
What is "Practice Only"
These are the possible outcomes under "Academic Certification" in the EC Report.
What are Final Qualifier, Final Non-Qualifier w/ Waiver, and Academic Red Shirt.
Final Qualifier: SA can practice, compete, & receive aid
One reason units are excluded from a certification even if the course has a passing grade.
What is the area must be satisfied with a "C" or better and has to be re-taken.
Note: If a student must repeat a course for the major (or GE req) we can exclude the units from the certification if not needed to meet eligibility.
This can only count once to meet any eligibility requirement.
What is a Repeat.
Note: Repeats of D's! ARGH! When in doubt, leave it out or if you see that the student is repeating the course in the upcoming term. If you use a course to meet an eligibility benchmark (the "6", "18", "24", etc.) you cannot count it again once repeated.
Play time is over! But we might still have to complete this type of certification check.
What is a certification for Reporting Purposes.
Note: Students who are taken off the roster but are on aid will be placed on our Reporting Purposes list and we will need to complete an eligibility check. Students on RPT/APR only need to meet the NCAA benchmarks to be eligible. (6, 18, %, GPA) etc. Do not need to be enrolled full time.
Scenarios:
If they are meeting all benchmarks besides full-time enrollment, put “eligible.”
If they are not meeting benchmarks and NOT full-time here, put “ineligible.”
If they are not meeting benchmarks, but enrolled full-time here, put “practice only.”
This can happen if a substitution is currently fulfilling a requirement that was being held for during the previous eligibility evaluation.
What is a Free Elective discrepancy.
Note: There are other reasons why a FE discrepancy may be happening such as: GWAR now being held for. TCE now fulfilling a requirement that was held for before. SA took LD course and UD course was assumed; or vice versa.
