Before accessing a client's box, associates should check this in their file 

1. Review the file for any cautionary flags

2. Review the most current safe deposit box lease contract (revision date is at the top) to verify the client is a renter. Confirm the person requesting box access is authorized to enter the box.

3. Compare the identification signature with the Safe Deposit Lease Contract and Access Card before granting access to a safe deposit box.          

4. Double-check the safe deposit box number on the Safe Deposit Lease Contract and Access Card before granting access to a safe deposit box.

What is required when ownership of a drawer changes hands? 

Teller must complete a trial balance of the drawer before completing any transactions. Trial balance must be signed and will be attached to end of day balance tape and retained.

What must be completed on Distribution List when keys are returned 

  • Date Returned
  • Sign for Returning
  • Indicate What Happened with the Key
    • Disposition Code
      • K = Dual Control Key Box: Follow procedures for “Returning Key to the Office Dual Control Key Box.”
      • D = Drop+Go  
      • R = Reassigned: key is being reassigned to another individual.  
      • L = Lost

What must be completed on access card prior to entry into box

  1. Client signature.
    • Ensure the signature on the access card and the lease contract match.
    • Note: If multiple renters are present and accessing the box, all must sign the access card.
  2. Client’s Identification Number(ID).  
    • ID verification is required unless the renter is personally known to you
    • Personally Known is defined as having an acquaintance, derived from association with the individual which establishes the individual’s identity with reasonable certainty.
    • Renters meeting the criteria may have the words “Personally Known" or “PK” written on the access card in lieu of the identification number. This is the only acceptable variation of the identification requirement. 
  3. Time and date of entry.
    • Stamped time and date - ensure the stamp is clear and does not validate other date/time entries.
    • Handwritten time and date - must be written legibly by the associate assisting the client with entry into a box.
  4. Associate initials.

  • Check teller drawers (open the drawer to verify contents)
  • Check coin locker (verify door is locked)
  • Check the night depository (verify door is locked)

The process for removing and returning client boxes

  • Allow client into safe deposit box area and allow them to lead you to their box.
  • Instruct client to insert their key
  • Insert guard key and open
  • Have client remove their key and box, key must remain in possession of client at all times.
  • Escort them to privacy booth if transaction will be longer than 30 seconds.
  • When client is finished, inspect privacy booth to ensure no items have been left behind.
  • Log re-entry into vault and have client return their box.
  • Have client conform box is locked before leaving.
