What are the steps for creating a session in your CR calendar?
1. From your Calendar, click on the start time that you would like the appointment to start, and click “Yes” to create.
2. Ensure that the date, start and end times, and time zone are correct. Change if not. (Ignore the part about using standard length). The time zone should default to the city that you are in, but be sure to check that it’s correct.
3. The appointment should not repeat. Only one-time sessions should be added by BTs. All ongoing sessions should be added by Client Services.
4. The primary provider is you! This should already be filled in.
5. Then choose the child under “Appointment with.” Start typing the name of your client and all the available options will come up.
6. Choose the Appointment Type – this is critical, as this will be what shows up on your schedule. You will almost always select Behavior Technician 1:1.
7. If this session is a make-up for a cancellation or to just make-up underserved hours, you must add a tag labeled “make-up” to the session under “event labels.” If you do not enter this tag, you will NOT be given credit for making up the missed time.
8. Enter your authorization information: Click on the blue button to see what authorizations are available for you to use and select the “use this” button to choose your codes. Please make note of both the code and the description (your codes should always have a 1:1 in the description). If you do not see the code that you need pulling up, please contact client services ASAP. You may still save the appointment without an authorization code attached, but you will not be able to convert your time or obtain a signature!
