When is CPOS initially ran?

If already registered, when a student is awarded from their FAFSA. Until it is ran, ROAENRL repeat line says 0, but that does not mean the courses don't go toward their degree.

How does withdrawing from a class impact aid during add/drop?

Aid will adjust up and down for all course changes during add/drop. So if a bill is paid in full and a course is dropped the aid will reduce. This does not give them a W or impact SAP.

Can we estimate if a student will owe a balance after they withdraw?

No, because there are so many moving parts in different offices, including entering information into a federal database, we cannot estimate this before the student withdraws.

What should an incoming transient student do to get HOPE or Zell and who pays it?

Work with their home institution to determine what forms are needed to begin the process. The home institution then sends GC the student's eligibility in Surfer and we award the HOPE or Zell here.

Core, major, or degree requirement.

Does withdrawing for medical reasons make a difference in the process for financial aid?

No! Withdrawing from all of their courses after the last day to withdraw at 100% (before class starts) will result in an R2T4 calculation to return some of their aid. Also review SAP because it will go toward the calculations.

Does an incoming transient student need to do add GCSU to their FAFSA?

No, we do not need their FAFSA because we will not be awarding their federal aid.

What are the levels of appeal for SAP and when would a student go to the different levels?

Appeal to Director- 1st appeal

Appeal to FAIR Committee- 2nd appeal if denied by director or didn't meet stipulations of 1st

Appeal to AVP- denied by FAIR or didn't meet stipulations of 2nd

What should an outgoing transient student do to get HOPE/Zell?

The HOPE/Zell Transient Agreement on the GC signatures forms. Keorra reviews the agreements for approved transient students and sends their eligibility through surfer for the other school to pay.

Who should students contact if they believe a course should count and is showing it does not?

They must contact their academic advisor who must email Kay with that information. Alyson can ONLY override courses the Kay Anderson tells her to.

How many times can a student repeat a course and receive federal aid?

Once they pass the course they can receive aid for that course 1 more time. D or better is passing.

What are the steps to follow when a student is approved on an Academic Plan?

Student receives approval and plan in their email. Student signs academic plan and emails it back to FA. Advisor gives the signed plan to Carla to award the student. Carla has it scanned in Xtender.

What should an incoming transient student do to receive federal aid?

Go through their home institution to get their consortium agreement. Send that agreement to our office and AFTER drop/add is over Alyson will fill it out and send it to the home institution for them to award and disburse federal aid.

What should you never do when it comes to CPOS?

Tell a student that the reason their aid is not disbursing is because their courses don't go toward their degree unless you have confirmed that CPOS has been ran and went through and SFASCRE is showing NO for count toward program. Have checked all other reasons aid could be not disbursing (such as not originated, verification, etc).

What happens after add/drop if a student withdrawals from a class?

That student receives a W which could impact SAP (so do a calculation) but aid is not immediately impacted. Goes toward 5 Ws.

Where in Banner will it show if a student has attempted a course too many times and aid will not pay for another repeat?

In two places. SFASCRE shows the number of repeats. ROAENRL- the repeat line will be adjusted if a student is not eligible. So it does not always mean the course doesn't go toward their degree, you must look at SFASCRE.

In what circumstances does the SAP calculation start over?

When a student goes from undergrad to grad, or starts a new grad program. This does not apply to changing major as an undergrad.

What should an outgoing student do to receive federal aid?

1st verify they are eligible for additional federal aid than what they are already receiving. 2nd do the Consortium agreement from our website. They fill out the top and send it to their host institution to fill out the bottom. 3rd Alyson verifies that the courses they are taking are needed for their degree before disbursing aid.

How do students know about CPOS?

Prior to registration, they have to agree to a statement saying that any courses they register not meeting degree requirements will not be covered by federal aid. In messages on their PAWS account.

What are the steps taken when a student withdrawals completely after the first day of class?

The Business office calculates how much tuition and fees they have incurred. Housing prorates housing and meal plans. Financial aid does a calculation (one for federal and one for state) to determine how much aid they earned during the time they were enrolled.
