What are the procedures when member PII has been compromised by or involving a branch team member?

The Member Personal Identifiable Information (PII) Compromise - Incident Reporting form must be completed. Email the form to the BOD Risk Office, copying the branch leadership team, with the following information:

  • Names of any employees involved.
  • Names, access numbers, and state of residence of any members involved.
  • Specific details on what occurred and what information was compromised (e.g., were individuals aware of compromise, date of compromise).
  • Any actions already completed (e.g., cards deactivated and reissued, account shutdown performed, Make it Right card issued).

Include as many details as possible to assist Risk Office with the inquiry.

What are the walk through guidelines for opening and closing the branch?

Opening: A team member must be present and must remain outside the branch before the authorized team member for the alarm system can enter the branch. 

  1. Survey the outside of the building to ensure there are no signs of a break-in.

  2. Verify that the all-clear signal was reset from the previous night before entering the branch. 

  3. Immediately re-lock the door upon entering the branch.

  4. Turn off the alarm.

  5. Conduct a walk-through inspection of the branch to ensure that no one has gained access overnight and to ensure that it is safe for other team members to enter.

  6. Set the all-clear signal to inform all branch team members that it is safe to enter the branch once everything is secure.

Closing:

  1. Verify that all vaults are locked and cabinet locks are secured according to the Secured Items Storage procedures. 

  2. Ensure drawers with bait money are locked prior to closing and exiting the branch. 

  3. Scan the branch for any documents containing sensitive information, (e.g., Personal Identifiable Information [PII]) and ensure they are stored according to the Secured Items Storage procedures. 

  4. Conduct a walk through inspection to ensure no members are still in the building. 
  5. Ensure adequate lighting is on throughout the branch and the lobby.

  6. Ensure visibility into the branch by following the requirements for all the window shades/blinds.

  7. Reset the all-clear signal if there are no security issues.

  8. Close the folding walls, if applicable. 

  9. Activate the alarm.

  10. Lock all doors (e.g., front entrance, folding wall) leading to the branch lobby.

Reopening a Closed Account Guidelines

  • The information below applies to accounts with a satisfactory closure. 

Account TypeGuidelinesMembership Savings 

A member can reopen a membership account within 30 days of closing even if they are no longer within Navy Federal's field of membership.

  • If the account has been closed for more than 30 days the account cannot be reopened. 
  • The member must qualify for membership and a new account must be opened.
  • To establish a new account, follow the procedures on Reactivating a Previous Membership page. 

Non-Membership Accounts Can be reopened as long as the closed account still appears in UAD.

Accounts with Joint Owners

Do not reopen a closed joint account unless you speak to, and receive permission, from all owners.

  1. Identify all owners and receive their verbal permission to reopen the account. A Joint Owner may be called if not present, but must be properly identified before reopening account.
  2. Place a non-expiring account level note on both the primary and joint account owners profile in UAD. 
    • Example: Received permission from (owner 1) and (owner 2) to reopen closed account ending in xxxx.

Minor Accounts

If the owner of the account is still a minor, the adult joint owner may authorize the reopening of the closed minor account.

  • All profiles (i.e., minor primary, adult joint) must be notated.  
  • If there are multiple adult joint owners on the account, a  Membership Application for a Minor (NFCU 97MI) must be completed and signed by all owners to reopen the account.  
  • If the primary member is no longer a minor, the reopening is treated as a regular joint account where both parties must authorize the reopening and must be notated.

2. In USD access the Closed Account Maintenance function.

3. Chose Reopen a closed account action.

4. Select account to be reopened.

5. Place a non-expiring account level note on the applicable account(s) in UAD detailing the reopening and the names of the owner(s)/joint owner(s) requesting to reopen the account.

4. Verify the card number has automatically populated in the "Card Number" field. Team members must verify that the first 6-digits automatically populated in the "Card Number" field matches the first 6-digits of the account number embossed on the credit card.

5. Verify the "Exp Month" and "Exp Year" fields have automatically populated. 

6. Process the request in encore as normal to include adding the 2nd form of ID and having the member sign for the transaction.
