How do you know if a youth is authorized to be photographed?
They will have a photo release form on record within their profile on MyClubHub.
Volunteers: Do they count toward staff ratio?
No.
Program Specialists, Program Directors, and Unit Directors only count toward the 1:20 ratio.
What is the first action to take when an authorized visitor arrives to your site?
Authorized visitors must sign into the Club Visitor Log.
*Once signed in they must be supervised by staff until departure.
When are staff allowed to communicate privately with youth via personal social media?
Never.

All staff and volunteers should be wearing their name badge while working during Club hours.

If the incident is life threatening CALL 911.
If the incident is suspected abuse, call the abuse hotline. 1-800-96-ABUSE / 1-800-962-2873
After these - your direct supervisor.
What if someone comes to pick up a youth and they are not on the pick up list?
We call the primary contact and ask that the person present is added to the emergency contact pickup list on their profile in MyClubHub.
*Make sure the Account Holder Checks the box "Authorized for Pickup"
When will you have completed required safety training? When was your last training?
Safety Training (February 16, 2026)
Staff should know training name and approximate date.

How many youth can Junior Staff supervise alone?
None.
Junior Staff do not count toward ratio and must be accompanied by a Program Specialist, Program Director, or Unit Director

The staff to whom the Club member disclosed the information.
*ALL STAFF are Mandated Reporters: A mandated reporter is an individual required by law to report suspected cases of child abuse, neglect, or harm to vulnerable adults (such as those with disabilities or the elderly) to appropriate state agencies

If it disrupts programming, it qualifies as a safety incident.
When an incident occurs at your Club, when is the deadline for reporting the incident?
Two hours after the occurrence

How do you know if someone is authorized to pick up a youth from your Club?
They are the primary contact (Account Holder) listed on the member's MyClubHub profile
Additionally:They are an adult over age of 18 listed in the account’s Household
Additonally: Someone that the Account Holder authorizes on the member's emergency contact list that has a checkmark for "authorized pickup".
