No, when the deposit and rent are paid, they go into two separate accounts. We cannot transfer deposit funds to cover any unpaid rent.

What’s the difference between “Mark Completed” and “Mark Job Done”?

"Mark Completed" means that the vendor has finished the work. We should ONLY mark "Job Done" when we are completing a work order ourselves. This does not apply to Skyhawk Rentals maintenance work orders, as maintenance teams complete and log their times as needed. For example, when Carson goes out to change the air filters, we need to mark it as "Job Done," not "Completed."

When do we charge for a lease change fee?

We charge a lease change fee when tenants add or remove individuals from the lease or when they add or remove pets from the lease agreement.

Do we charge tenants for parking on an unpaved surface, and if so, how much do we charge them?

Yes, we do charge tenants for parking on an unpaved surface. We impose a $50 fee each time we find a vehicle parked off the designated surface. For example, if a tenant is parked on the grass at South Campus Place, we need to send the tenant a text immediately.

What happens if a tenant wants to move out, but their housemates refuse to sign the "Request to Remove Tenant" form?

The "Request to Remove Tenant" document must be signed by all remaining housemates to remove the tenant from the lease. If everyone refuses to sign, the tenant will remain on the lease, and their move-out request will be canceled.

Do we need to create a new work order for maintenance if they are going to replace an appliance and there is already an open work order?

No, there is no need to create another work order. Maintenance can add their time to the existing work order and upload the appliance receipt

What is included and not included in our QPC contract?

Our QPC contract covers treatment for roaches, crickets, silverfish, ants, and mice. It does not cover spiders, bed bugs, or nests of wasps, hornets, or yellow jackets.

Do we charge tenants at Utown, The Highlands, and The Nest if their air filter is dirty, even though we change them quarterly?

Yes, we must still fine the tenants because, according to the lease agreement, they are responsible for maintaining their air filter between our quarterly changes.

When is a request to remove tenant document needed?

A "Request to Remove Tenant" document is required only when a tenant is vacating the property before the lease end date. This document must be signed by everyone who will remain on the lease, as they are releasing the departing tenant from all financial responsibility and agreeing to be liable for any damages that may have occurred or be current in the property.

What’s the first thing we should do when we receive a work order?

When you receive a work order, you should review the maintenance information as well as any previous work orders and notes.

When is a pet approved to be at the property, and what steps must a tenant take to obtain Skyhawk Rentals' approval?

The tenant must provide up-to-date vet records, a photo of the animal, and pay the required pet deposit and pet rent. Ensure that the new Skyhawk Rentals pet lease charges the updated amounts—$400 for the deposit and $50 for the monthly pet rent. 

During inspections or tenant inquiries, remember that the pet deposit and rent apply to all pets, including mammals, reptiles, birds, fish, and insects. If such pets are found (unless they are emotional support animals).

When do we charge invoices back to tenants?

We only charge invoices back to tenants if something has been deliberately broken by them or caused by their actions. This includes issues such as hair clogging the shower drain, tenants flushing inappropriate items, or failure to replace the air filter properly, which leads to the unit becoming clogged.

What should a tenant provide at the end of their move out?

When a tenant completes their move-out, they should return all keys provided by Skyhawk Rentals and present a receipt for the steam cleaner.

What are the eviction and late fees, and on which days are they applied?

Late fees are 10% of the recurring rent and are added on the 6th of every month. The eviction fee is $100 and is charged only if tenants owe rent; it does not apply to other charges such as work orders, insurance, or month-to-month fees. Please note that the eviction fee is separate from the actual process of filing an eviction.

What is the difference between Color Shop Construction, Colorshop and Color Shop Restoration?

1. CS:all our flooring replacement work orders and carpet stretching.

2. CSR: handles moisture tests, repairs after significant water leaks, bathtub replacements, and other larger work orders.

3. CSC: Drywall, and other smaller work orders that. We also use the handyman for smaller tasks, such as replacing weatherstripping.

How long can a tenant have guests spend the night?

The PMC must approve unauthorized occupants living on the premises for longer than 3 consecutive days or more than 5 days throughout the lease term. Violation of these terms is grounds for immediate eviction.
