I've got Goodyear asking for a PO because they used the one provided for a Dry Run--Do I just create another VRO...for a dry run?

Yes - Create a new VRO so this service can be tracked and followed. Also will issue a new PO so there is no confusion

I have a DOT Cert completed and the form has all the data on it. It contains the Vin, Tech , miles, address of DSP, DSP name, and all of the boxes are checked. Is this correct? 

The Address can be the DSP but the name must stat AMAZON to be complete and approved by JJK.

What happens when a Vendor does work without approval?

What do you do when a PM is closed but was not completed? 

1- Contact tech for verification 

2-if confirmed not complete create new NON billable RO. 

3- Notifying the FM and ensure that it has not happened before.

I have two duplicate PMs  same VIN and same 517 in third party portal ? What do I do? 

Vet- the vin and cancel one that is not needed or doesn't have a PO created/ Vendor assigned.

I have a RO open on a sprinter van and its gone to a dealership for service. What do I do with the Open Ro? 

1-drop down menu that says "Contacted Van in Shop" or "Contacted-Service Completed by another Vendor"

2-Once you have verified the service is completed you can cancel it but you'll need to put notes on who you spoke to, the date you spoke to them, and when it was serviced

A Vendor calls you and states they cannot work on this unit because it needs to go to the up fitters? Next step? 

Check the in service date file to see who the up fitter is. Gather the contact information and give it to the vendor. The up fitter in most cases will work with the vendor to fix the repair- 8-10 times the repair will be covered and paid for by the up fitter.

I have a DSP who stated they are moving stations?

You have limited hours on your schedule and DSP are still requesting work ? What do you do ? 

1-look for surge help in area through the FM 

2-Move techs around to cover the extra workload

3-Ask for weekend help from the FM

I have a Failed DOT (Onsite) VRO inspection. What Now? 

Onsite- (completed onsite at dsp’s parking location)

  • Vehicles must be red-tagged/locked out tagged out to alert DSP vehicle is out of service
  • Vendor reports to VFM what inspection failed for, and what next steps are required to complete repairs.
  • VFM marks vehicle “DOT failed- needs vended.”
  • Repairs are completed/inspection passes, and vehicle is returned to service.
  • Cert must be submitted to VFM, and then to Kailene for audit within 24 hours.

I have an invoice that shows me the PO but does not have a vin or RO number. Where can I find the data?

TMW- Purchase Order search. This will show you the RO. You then would search it in the RO lookup section of our portal.

A DSP has gone to a vendor and requested a PM- The Vendor is reaching out to you for approval. What should you do ? 

1- Verify the unit is a step van or a unit we are authorized to service. 

2-Check Portal for VRO

3-Vet data on the PM (is it really due) When was the last service etc.? 

4- Make sure that you don't miss a service that will be due shortly. 

5- Make sure there is no other RO;s open that you can get completed now at the location its at.

Who reviews the invoice for correct data and what is the data needed for a correct invoice>? 

VFM - Vin, correct miles, correct services.

I have a failed DOT (Offsite)VRO inspection ? What now ? 

Offsite- (inspection completed offsite)

  • Vendor is not to release vehicle until repairs are completed and inspection passes *Unless otherwise communicated by VFM partner re-DSP pay issues like body damage.
  • Report to VFM what inspection failed for, and what next steps are required to complete repairs.
  • Repairs are completed/inspection passes, and vehicle is returned to service.
  • Cert must be submitted to VFM, and then to Kailene for audit within 24 hours.

I have a DSP that needs service.- The unit is not in the system and I cannot create a 3rd party RO. What do I do? 

Create the RO or find someone who can in TMW. 


Follow up with the team to make sure the unit is added to our portal.

The incorrect miles are showing on a closed RO? Who can fix this?
