What is the BGC attendance/ calling out policy?

Employees must show up on time for scheduled shifts. If they can’t work due to illness or an emergency, they must notify their supervisor/Area Director at least three hours before the shift. Regular attendance is expected and excessive absences/tardiness can lead to discipline.

What is the morning programs drop off window?

6:30am to 7:00am with a 5 minute grace period

Why are keeping head counts important?

Head counts are important because they ensure all students are present, safe, and accounted for at all times, especially during transitions, emergencies, or activities, helping staff respond quickly if someone is missing.

What is BGC dress code?

Staff shirts, no open-toe shoes, no sweats/leggings/ tight clothing.

You had an art activity that was supposed to take an hour to do, but ended up finishing early and you still have 20 minutes until you bring your kids to room 127. What should you do? 

It is your responsibility to keep students engaged until the very end. Have a back up activity as a just in case for these type of scenarios. Reminder, everyone should be in their designated areas UNTIL 5:45pm.

What is BGC cellphone policy ?

Staff shall not use cell phones or other electronic devices while supervising members or transporting them.

What is our usual program schedule and what time do we transition in between?

Signing in/supper is from 2:53pm-3:05pm; Announcements begin clean up/transition into Power Hour at 3:10pm; start Power Hour no later than 3:20pm & wrap up at 4:10pm, be at lunch tables by 4:15pm; Pass out snack once all groups arrive; Announcements begin clean up/transition into activities 4:30pm. Must be in activities UNTIL 5:45pm. After, you must bring your kids to 127 and attend cleaning duties.

What is the bathroom rule of thumb?

1 or 3 students at a time, announce over walkie, give bathroom pass.

What is “prep time” used for ?

During prep time, staff are expected to plan activities, set up materials, review schedules, and prepare the space while remaining professional and ready to support students when program begins.

What can you do if you finish prepping your activity?

After preparing their activities, staff should set up the space, check materials, review safety rules, coordinate with other staff, and be ready to actively supervise and engage students when the activity begins.

What are some examples of inappropriate staff member conduct?

1. Behavior towards students: personal life telling, social media, false accusations, negatively speaking about program.

2. Behavior towards teachers: Friendly demeanor, being respectful, any intense problematic issues report to Clae IMMEDIATELY. 

3. Behavior towards staff: Be supportive, no gossiping, be respectful, staff must keep staff-related issues private and never discuss them with students.

How do we ensure club cleanliness within our area's? (Lunch tables, P.H. Classrooms, BGC Classroom, Basketball courts, MPR, etc.)

Lunch tables: no leftover trash/spills/crumbs, taking out trash to black bin, picking up items members forgot, etc.

P.H. Classrooms: no trash/crumbs, straightening desks, wiping used whiteboards, etc. You must leave classroom better than you found it even if the mess wasn’t made by you. 

BGC Classroom: clearing/wiping down desks, vacuuming, clean/put away dishes, wagons/carts put away, etc. Leave the classroom clean and ready for the next group (morning program). 

Basketball Courts: Bringing all materials back in, not leaving trash, making sure the shed is closed/locked properly, left student belongings to lost & found, etc. 

MPR: Floors are mess free (if so IT IS our job to sweep/mop if necessary), materials are put back, snack cart is clean, etc.

What does active supervision mean ?

Active supervision means staff are fully engaged by watching students at all times, moving through the area, scanning for safety issues, interacting with youth, and preventing problems before they happen.

What are some expectations for power hour time and activities?

During Power Hour, staff support homework and academics by actively supervising, encouraging focus, providing help when needed, and maintaining a quiet, respectful learning environment. During activities, staff actively supervise, explain rules, keep students engaged, promote safety and inclusion, and ensure equipment and spaces are used appropriately.

What should you do if a student is running, yelling, and not following directions during an activity?

Stay calm, remind the student of expectations, redirect them to appropriate behavior, provide a warning if needed, and follow behavior steps if the behavior continues.

Staff should address behaviors calmly by reminding expectations, redirecting the student, and involving support if needed.

Can staff have public contact/ communication with students outside of program? 

NO. 

Appropriate conduct requires no outside or public contact with students beyond the program.

Should staff be 1-on-1 with a student?

NO. Staff must avoid being alone with a student. Interactions should be in open, visible areas, within sight of others, or with another staff member present to ensure safety and accountability.

What are some expectations for supper/snack?

During supper and snack, staff actively supervise, ensure students remain seated, follow food safety rules, clean up after eating, and promote respectful behavior while accounting for all students.

What should staff do after clocking in?

After clocking in, staff check the duty board, report to their assigned area, and prep their activity by gathering materials, setting up the space, and reviewing rules before students arrive.

What is BGC drug policy? 

Staff must keep the workplace drug- and alcohol-free: no working under the influence, no use or possession of illegal drugs or alcohol during work, and staff must report legal medications that affect job safety to their supervisor.

What are the floater expectations? 

Making sure students aren’t walking around unsupervised, help staff when needed, general staff support, etc.

What are incident and accident reports?

An accident report documents unintentional injuries or medical issues, while an incident report documents behavior issues, safety concerns, or rule violations. Both are completed promptly to ensure safety and proper follow-up.

What are some expectations for sign in/out and walkie etiquette?

Sign-in and sign-out procedures ensure every student is accounted for and released only to approved individuals, helping maintain safety, accurate attendance, and supervision at all times. Proper walkie etiquette means using clear, professional language, keeping messages brief, avoiding names or sensitive information, and using the radio only for work-related communication.

What are the 3 steps to a student receiving a write-up?

A student first receives a verbal warning from staff, then speaks with the Senior Group Lead, followed by the Supervisor. If the behavior continues, a write-up is completed and parents are contacted.

Who is a mandated reporter?

A mandated reporter is any staff member required by law to report suspected child abuse or neglect to the proper authorities immediately when they see it, hear it, or reasonably suspect it.

What does EOP stand for?

It stands for Emergency Operations Plan. It explains what staff must do during emergencies like fires, lockdowns, earthquakes, or medical situations so everyone knows procedures, roles, and how to keep students safe.

What does taking initiative mean to you in program?

Staff should always be prepared by knowing the schedule, having materials ready, understanding expectations, and being ready to support students/staff and respond to situations at all times.

You see a parent walking around campus, but parents aren’t allowed how should you approach them and what should you say?

Staff should politely approach the parent, introduce themselves, explain campus safety rules, and escort the parent to the front office or designated area while notifying a supervisor.
